Terms and Conditions of Sale

1. Bookings and Payment

All bookings and registrations must be made via our online booking system and paid for in full at the time of booking.

Each child attending a session must have a valid, paid booking. This applies to all children who will be present at the session, whether participating or otherwise. Children may not attend sessions without a paid place.

Places are allocated on a per-child basis and are non-transferable unless agreed in advance by the course leader.

We do not permit unpaid attendance or “spectator” attendance by children.

 

2. Late or Outstanding Payments

All sessions and courses must be paid for in advance. Late payments are not normally permitted.

If a payment has been made but has not cleared due to banking or technical delays, this will be reviewed on a case-by-case basis. We may request evidence of payment. Where appropriate, a child may be allowed to participate while the issue is resolved.

We do not charge additional late payment fees. However, if payment is not received, we reserve the right to cancel the booking and re-advertise the place.

If a service has been provided and payment has not been received, we reserve the right to issue reminders and pursue payment through appropriate and lawful means.

 

3. Discounts and Promotions

We do not offer discounts unless they are explicitly advertised on our website or booking platform.

Promotions and offers apply only during the advertised period and cannot be applied retrospectively. If a promotion begins after a booking has been made, no refund or price adjustment will be offered.

 

4. Cooling-Off Period

Customers have a 48-hour cooling-off period from the time of booking, during which they may cancel their booking for a full refund, provided that the cancellation is made no later than 48 hours before the start of the first scheduled session.

The cooling-off period does not apply to bookings made less than 48 hours before the start of the first session.

5. Refunds

Refunds will only be issued in accordance with these terms.

Refunds will be made using the original payment method via our online booking system. We do not offer cash refunds or refunds via alternative methods.

We do not offer refunds, credits, or discounts for unattended sessions, including absences due to illness, holidays, or personal circumstances. If a session cannot be attended, please contact us in advance. It may be possible to arrange an extra catchup session on a different date, subject to availability.

If a block of sessions has been booked and attendance ceases part-way through, no refund will normally be issued.

Taster sessions are paid for in advance and are non-refundable once attended. Standard cooling off terms under section 4 apply. Non-attendance at a taster session does not entitle the customer to a refund.

Where a participant withdraws from a course, we may, at our discretion, offer a pro-rata refund for any sessions that are re-sold to another participant. Refunds will only apply from the point at which the replacement booking is confirmed and paid. We cannot guarantee that a withdrawn place will be filled.

We do not charge a fee for re-advertising withdrawn places. However, it is acknowledged that re-advertising involves time and cost. Withdrawn places will be re-advertised within a reasonable time period via our website and selected social media channels.

6. Cancellations made by Trail Tribe

We do not cancel sessions lightly and will always make reasonable efforts to ensure sessions go ahead as planned. This may include sourcing alternative instructors or arranging alternative venues where possible.

If a session must be cancelled due to circumstances beyond our control, including but not limited to instructor illness, adverse weather, or venue unavailability, we will provide notice as soon as reasonably practicable.

Where a session is cancelled by us, we will, in the first instance, offer a replacement session. Replacement sessions may be scheduled on alternative dates, added to the end of the course, or offered as an additional session. We will make reasonable efforts to offer suitable options and take participant availability into account.

If one or more reasonable replacement options are offered and declined, no refund will normally be due.

In exceptional circumstances where a cancelled session cannot reasonably be rescheduled, a refund for that individual session may be offered. Refunds in these circumstances are a last resort and will be determined on a case-by-case basis.

 

8. Supervision, Collection and Attendance

All children must be supervised at all times during sessions by a responsible adult, with a minimum ratio of one adult per child, unless otherwise agreed in advance with the course leader.

Children must be collected promptly at the end of each session.

If a child is not collected on time, we will take reasonable steps to contact the responsible adult. Failure to collect a child on time may be treated as a breach of these terms and may result in the booking being cancelled without refund.

 

9. Behaviour and Conduct

Participation in sessions is conditional on appropriate behaviour by both children and accompanying adults.

Children must be able to take part safely and without unreasonably disrupting other participants. Behaviour standards are determined by the session leader.

Where concerns arise, these will normally be discussed with the responsible adult in the first instance. If behaviour does not improve, or if it is considered unsafe or disruptive, the child may be asked to leave the session. No refund will be issued in these circumstances.

Abusive, aggressive, or inappropriate behaviour by adults towards session leaders, volunteers, or other participants will not be tolerated. This includes verbal abuse, threatening behaviour, or conduct that undermines the safe and positive running of sessions.

In cases of serious or repeated misconduct by a child or adult, we reserve the right to remove the participant from a session or from the remainder of a course without refund.

 

10. Eligibility, Age Limits and Individual Needs

All paying participants must meet the minimum criteria for attendance, including published minimum age requirements and a basic level of physical ability appropriate to balance bike activities.

We are committed to inclusive participation and will not discriminate on the basis of disability or other protected characteristics. Where a child has individual needs or requires reasonable adjustments to enable participation, parents or guardians must inform us in advance of booking or as soon as reasonably practicable.

Advance discussion allows us to assess whether appropriate adjustments can be made safely and reasonably. We ask parents and guardians to work with us openly to support positive and safe participation.

If relevant information is not disclosed in advance and this impacts our ability to deliver sessions safely, we reserve the right to refuse or discontinue participation. No refund will be due in these circumstances.

 

11. Safeguarding

All sessions are delivered in accordance with our Safeguarding Policy. Decisions relating to supervision, behaviour, or removal from sessions may be informed by safeguarding considerations.
